How Much can I Rent a Photocopier for?

Choosing the ideal Photocopier

Photocopiers are really advanced these days, with the ability to perform the functions of a number of different items of equipment. If you are a small business, you might find it useful to rent a photocopier that can replace the need for individual items. Typically, a copier is able to print in black and white or colour, and can print in high quality; the speed of a photocopier is what will give it the edge, alongside the costs of printing each copy. The additional features related to photocopying include glossy printing, feeder tray options, collating, stapling, binding, hole punching, additional paper trays and copying larger sizes or smaller sizes of paper. The features that can replace office equipment include printing, scanning, faxing, .pdf file transfer, and file and document management.

Understanding the Office needs

The various rental schemes available are based upon the volume of photocopying that a business might do as well as the photocopier features. A businesses' use may be classed as low, medium, or high volume. The business needs to have a pretty clear idea of the number of copies it will produce over a month. Most lease companies will discuss the needs of the company before a decision is reached with them, in order to ensure that the best option is offered to the company. Look carefully at the features that are on offer before making a decision; it may be more cost effective to rent a photocopier that can replace the need for a fax machine, scanner and printer because there is one big advantage when it comes to renting. A rented machine can be upgraded throughout the lease period, keeping up-to-date with technology and removing the need to replace multiple items of office equipment.

The prices for Renting

Prices are entirely dependent on the factors already outlined, namely, the features that are chosen and the volume of photocopying that will be carried out on a monthly basis. Low volume usually means up to 8,000 copies; these machines are generally bottom of the range due to the low volumes. A mid volume usage would be between 8,000 and 40,000 copies per month; these copiers have much more advanced features. The high volume user printing above 40,000 per month will be able to rent the best machines on the market at competitive prices.

Lease schemes are typically for around five years, but the photocopier can be updated within the lease. There are short term hire options available from many companies. Companies also involve servicing and support.

A basic, monochrome photocopier with a scanner and colour printer option can typically be rented for £25 per month. This would serve a low volume of 750 copies; anything above this would be charged by the copy, which is usually a couple of pence each. The typical costs for a basic colour photocopier with a low photocopying volume of less than 1000 sheets may cost around £35 per month. A business user may find that going for the lower part of the mid volume will allow them to gain a photocopier with many useful and time saving features. The costs for a mid volume photocopier is typically from £50, with the upper range photocopiers being hired for around £200 plus per month.
