Purchase costs

Given the wide range of photocopiers available on the market from small portable copiers to free standing photocopiers the price varies hugely. To purchase a portable photocopier for up to one thousand copies a month can cost a few hundred pounds. A floor standing bulk photocopier can cost up to twenty thousand pounds. It is possible to purchase second hand photocopiers, which are typically half the cost of new machines.

Given the large investment required for purchasing a new photocopier it is common for businesses to choose a lease arrangement. Leases can include, lease rental, lease purchase or rental. Many leases have a minimum contract length which requires a payment if the lease is ended prior to the term ending. If the photocopier is rented rather than leased there tends not to be a minimum term. For the smallest machines, the rental can be under ten pounds a week, whereas for large bulk copying machines in can be over two hundred pounds per week. Second hand photocopiers are also available for lease, or rental, typically for around half the price.

Other costs

Maintenance can be a significant cost for photocopiers. Modern machines are complex and if they break down it can bring the office to a stand still. Typical maintenance contracts will either be a set monthly fee, be based on the number of copies produced, or a mixture of the two. Some photocopiers come with extended warranties which are cheaper but require sending the machine away for repair as opposed to a technician being sent out. The variables involved means the cost of maintenance contracts can vary greatly. The costs can start from a few pounds month up to several hundred. When comparing the cost of these contracts be sure to compare the service they offer as well as the cost so you can get the best contract for your business needs
